Asset Management

Track assets, tags, custody and inspections with permission controls.

Assets records equipment identity, ownership, home location, condition and physical custody. A bookable Resource is a separate Bookings record: an Asset may link to a Resource, but owning equipment does not create booking availability.

Inventory, custody and tags

Open /assets or Inventory. Register an asset captures recognisable name, home venue, optional category and serial number. The list distinguishes an organisation asset from an explicitly shared portfolio asset. Selecting a row opens ownership/location, custody, return policy and the custody/inspection trail.

Configure Custody timing with allowed-away minutes, grace minutes and either the Assets manager queue or a named duty manager. Checkout remains blocked until a policy exists. A holder is alerted first when overdue; managers receive the later escalation. Accepted handover or return closes the relevant timer.

Restricted asset tag creates one revocable NFC/QR bearer URL with an action allowlist and an optional fault-reporting action. Download/program the tag while the receipt is visible: the bearer token is not shown again after the dialog closes. Delivery offers QR artwork and NFC writing where the browser supports it, with a copyable URL/writer-app fallback.

At /assets/scan/{token}, a signed-in eligible user can Check out to me, Check in at recorded location, Accept handover to me, Record inspection or Acknowledge overdue return, according to current state and permissions. Inspection captures Operational, Needs attention or Out of service plus notes. An approved handover selects the next holder in the workspace; that person must accept by scanning, rather than being silently assigned custody.

The same tag can expose Report a fault or repair need when Maintenance is active, already bound to the asset. The fault route is create-only. Turning off Assets removes custody; turning off Maintenance removes fault reporting. A tag with no active permitted action is unavailable, as are expired/revoked tags.

Permissions and boundaries

assets.view reads permitted inventory. assets.manage registers assets and manages tag/policy configuration. assets.custody.manage governs custody and handover; assets.inspect governs inspections; assets.escalation.manage governs escalation actions. assets.settings.view and assets.settings.manage control the settings route.

Portfolio ownership requires an explicit current share before an asset is usable in a child organisation. Custody checks the signed-in principal and current record revision, and appends actor, holder, location and time evidence. An asset scan cannot grant access to the wider organisation. Settings contains General, Custody, Inspections and Escalations shells; per-asset return policy is the implemented editor on asset detail.
